Webinar Recording: Five Strategic Projects in Three Months – How IPR Rethinks Procurement with Tacto

How do you strategically restructure procurement in just three months? In the webinar "How IPR Rethinks Procurement with Tacto," Sascha Wölffle (Head of Procurement, IPR) and Simon Schaub (Customer Development, Tacto) show how IPR – Intelligente Peripherien für Roboter – completed the transformation from manually driven processes to a data-driven procurement organization. The result: more transparency, clear structures, and a procurement function that operates significantly more efficiently today.

The Starting Point – Growth, Complexity, and Scattered Information

As a mid-sized mechanical engineering company, IPR is growing steadily – new projects, more suppliers, increasing requirements. But with growth came increasing complexity: data resided in different systems, documents were maintained manually, and analyses took considerable time. The goal was to standardize processes, create transparency, and bring strategic topics to the foreground.

The Approach – Five Initiatives with a Clear Target Vision

To make procurement more efficient and data-driven in the long term, IPR defined five initiatives that were implemented within a few weeks – each with a clear impact on structure, transparency, and steering capability.

  1. Supplier Onboarding & Self-Disclosure
IPR wanted to centrally capture supplier information and standardize the onboarding process. Instead of scattered email communication, master data, compliance information, and documents were bundled in a unified structure – as a foundation for transparency and traceability.
  2. Document Management & Compliance Security
Going forward, certificates, records, and audit documents would be automatically monitored, centrally stored, and documented in a version-secure manner. This created a stable foundation for audits, sustainability requirements, and internal review processes.
  3. Supplier Evaluation & Performance Transparency
The goal was to make performance, quality, and risk objectively comparable. Through a unified evaluation logic, IPR established overarching transparency across its supplier base – and could systematically identify development potentials.
  4. Commodity Group Strategies & Market Transparency
IPR wanted to continuously analyze price and volume developments to identify market trends early. This turned retrospective observation into forward-looking steering – with data-based decisions on conditions and volume bundling.
  5. AI-Powered Analytics & Potential Identification
Through the use of AI, hidden savings potentials and anomalies in heterogeneous commodity groups were to become visible faster. This gave procurement new insights that would have been nearly impossible to achieve with manual analysis.

These five projects formed the foundation for a procurement function that now works in a structured and data-oriented way.

The Impact – Procurement as a Strategic Unit

The results show how procurement at IPR repositioned itself in a short time:

  • Central data foundation: Supplier, price, and compliance data is now consistent, current, and centrally accessible.
  • Analytics at the click of a button: KPIs and trends can be evaluated in minutes – without manual maintenance or Excel dependency.
  • Stronger steering: Procurement acts as an interface between engineering, quality, and management – with clear roles and reliable information.

Tacto serves as the platform where all relevant data points converge – as both an operational tool and a strategic foundation.

Conclusion – From Process to Steering

The IPR example shows that structural transformation in procurement is not a question of size but of clarity. With five projects in just three months, IPR developed procurement from operational processing to strategic steering – data-based, transparent, and future-oriented.

In the webinar, Sascha Wölffle (IPR) and Simon Schaub (Tacto) report on how this realignment succeeded, which priorities were decisive – and how IPR has established procurement as a genuine value driver today.
